A-R-E Short Film Participant Form

A-R-E

Participant Terms & Conditions  |  A Short Film by Angela K. Baldwin

1. Confidentiality & Copyright

All participants and their parent(s) or guardian(s), where applicable, agree to keep all scripts, story details, production materials, and any creative content associated with A-R-E strictly confidential. This includes but is not limited to dialogue, plot details, filming locations, casting, and any materials shared during pre-production or production.

Confidential materials may not be shared, copied, photographed, reproduced, or distributed outside of the production in any form — whether in print, digitally, or through any other medium — without prior written consent from the filmmaker.

2. Media Release & Likeness

By participating in the production of A-R-E, each participant (and parent or guardian, where applicable) grants the film's writer and filmmaker, Angela K. Baldwin, and the production team the irrevocable, royalty-free right to use their image, voice, likeness, name, and performance in the film and in any related promotional or distribution materials, including but not limited to trailers, posters, social media content, press materials, film festival submissions, streaming platforms, and any future exhibition of the work.

This right is granted without additional compensation unless otherwise expressly agreed upon in a separate written agreement signed by both parties.

3. Credit & Editorial Discretion

All participants who appear on camera will be listed in the film's end credits unless they have requested anonymity in writing prior to the start of filming. Credit format — including the use of a full name, first name only, or pseudonym — will be determined at the participant's written request.

Participation in filming does not guarantee inclusion in the final cut of the film. The production team retains full and sole editorial discretion over all footage recorded during the production of A-R-E, including the right to edit, reduce, rearrange, or omit any recorded material. No participant is guaranteed screen time, a specific role, a minimum appearance, or inclusion in any version of the final film, promotional materials, or related content.

By participating, you acknowledge that the director's creative and editorial decisions are final and not subject to dispute or renegotiation after participation.

4. Compensation

Participation in the production of A-R-E is entirely voluntary and unpaid. No monetary compensation, deferred payment, royalties, or revenue sharing of any kind will be provided to participants, cast, or crew unless expressly agreed upon in a separate written agreement signed by both parties prior to filming.

In appreciation of your time and contribution, the production will provide the following non-monetary benefits to eligible participants. These are offered as a courtesy and do not constitute a contractual obligation or form of compensation: (1) On-screen credit in the final film, as outlined in Section 3 above; (2) Early screening invitation to a private cast and crew screening prior to the public release event; (3) A signed letter of participation from the filmmaker acknowledging your role, suitable for acting resumes or community service documentation; (4) A social media spotlight feature on the production’s official pages during or after filming; (5) A personal digital gallery of behind-the-scenes production photos; (6) Official IMDb credit upon registration of the film; (7) An A-R-E branded keepsake item; and (8) For on-camera participants, an edited video reel clip of your performance suitable for use in a personal acting reel. Benefits listed in items (3) through (8) apply to principal cast and named crew members only. Background participants and extras — defined as those appearing in non-speaking, non-principal roles — are entitled to on-screen group credit (item 1) and an early screening invitation (item 2) only, unless additional benefits are separately confirmed in writing by the filmmaker prior to filming.

By agreeing to these terms, you confirm that you fully understand and accept that your participation is on a voluntary, unpaid basis, and that no compensation of any kind is owed to you at any point during or after production.

5. Conduct on Set

All participants agree to conduct themselves professionally at all times while on set or participating in any production activity. This includes following direction from the director, filmmaker, and production team, respecting fellow cast and crew members, and adhering to any set rules or codes of conduct communicated prior to or during filming.

The production reserves the right to remove any individual from set at any time for conduct deemed disruptive, disrespectful, or harmful to the production or its participants. Removal does not entitle the participant to any form of compensation or credit.

6. Safety & Liability

Participants acknowledge that being present on a film set involves inherent risks, including but not limited to physical activity, equipment use, and unpredictable environmental conditions. All participants agree to follow all safety guidelines communicated by the production team at all times.

The production, filmmaker, and any affiliated parties shall not be held liable for personal injury, illness, or property damage sustained during participation, except in cases of gross negligence or willful misconduct on the part of the production.

7. No Obligation to Use

The production is under no obligation to use any participant's performance, contribution, image, or likeness in the final film or any related materials. The decision to include or exclude any content rests solely with the filmmaker and is final.

8. Social Media

Participants agree not to post, share, publish, or otherwise distribute any behind-the-scenes content, production stills, script excerpts, casting information, or any other production-related material on social media or any public platform without prior written approval from the filmmaker.

Unauthorized posting of production content may result in removal from the project and, if necessary, legal action to protect the integrity and confidentiality of the work.

9. Governing Law

This agreement shall be governed by and construed in accordance with the laws of the State of Illinois, without regard to its conflict of law provisions. Any disputes arising out of or related to this agreement shall be subject to the exclusive jurisdiction of the state and federal courts located in Lake County, Illinois, and all parties consent to personal jurisdiction in such courts.

10. Agreement Acknowledgment

By signing below, the participant (and parent or guardian, if the participant is under the age of 18) confirms that they have read, understood, and voluntarily agreed to all terms and conditions set forth in this document. The participant further confirms that they are 18 years of age or older, or that a parent or legal guardian has reviewed and consented to these terms on their behalf.

This agreement is entered into freely and without coercion, and represents the full understanding between the participant and the production regarding the terms of participation.
